Property Companies LTD – Refunds Policy
This Policy should be read in conjunction with our standard Terms and Conditions of service (Terms) and all defined terms used in this Policy shall take the meanings given to them in the Terms.
1. YOUR RIGHTS TO END THE CONTRACT
1.1 Ending the contract because of something we have done
If you are ending a contract for a reason set out below, the contract will end immediately and we may not refund you in full for any services already provided:
- We told you about a change you do not agree to
- We told you about an error in price or description
- There is a serious delay outside our control
- We suspend services for more than two weeks
- You have a legal right because of our mistake
1.2 Changing your mind
Under the Business / Consumer Contracts Regulations 2016, you normally have 60 days to change your mind for online purchases.
1.3 Time to change your mind
You have 60 days from the day we confirm your order to change your mind. We accept refunds directly if you contact us with a reasonable request to cancel which must be received within 60 days of acceptance to that extent the no-nonsense 100% money back guarantee can be invoked right up to 5pm on the 60th day.
1.4 Service Fulfillment
Our services are considered fulfilled once we have initiated the document retrieval process or the documents have been dispatched to you. Once a service is fulfilled, the right to cancel is lost.
1.5 Non-refundable Fees
Please be aware that any government or third-party fees already incurred at the time of your cancellation request (such as official search fees) may be non-refundable.
1.6 Ending when we are not at fault
You may still end the contract before completion but may need to pay compensation. The contract ends when services are completed and paid for. We will refund unused services but may deduct reasonable costs.
2. CLEAR CONSUMER DISCLOSURES
2.1 Non-Affiliation
Property Companies LTD is an independent document retrieval and administration service. Our business is not affiliated with HM Land Registry or any UK government body.
2.2 Service Nature
Customers acknowledge they are paying for an independent document retrieval and administration service, rather than purchasing documents directly from an official government source.
3. DELIVERY / SHIPPING POLICY
3.1 Delivery Timeframes
We aim to process and deliver all digital document requests within [Insert Time, e.g., 24-48 hours]. For hard copy requests, delivery timeframes are subject to postal services but typically arrive within [Insert Days] business days. Please note that timeframes may be affected by third-party processing delays at official registries.
4. PROBLEMS – SUMMARY OF YOUR LEGAL RIGHTS
- We must provide services with reasonable care and skill.
- You can ask us to fix poor service or get money back.
- If no price is agreed, it must be reasonable.
- If no time is agreed, it must be reasonable.
5. TAKING ACTION TO END THE CONTRACT

5.2 How we refund
Refunds are made using your original payment method.
5.3 Deductions
If you cancel after service has started, we deduct the value of work done. If cancellation is due to breach of terms, no refund will be made.
- 5.3.1 Document fee: Refundable, but search fee is non-refundable, even if no results are found.
- 5.3.2 Additional services: We do not refund SMS, postage, Super-Fast Track or Fast Track service fees.
5.4 When refunds are paid
Refunds are processed as soon as possible, but an admin fee may be deducted.
5.5 Duplicate orders
Partial refund is allowed only if both orders are placed within 1.5 hours and you email us within 1.5 hours of the second order.

At Propertycompaniesltd, we aim to provide fast, accurate and reliable document services. Because our products involve digital and legally-sensitive information, our return and refund terms are structured to protect both the customer and our compliance obligations.
Digital Products & Services
Most of our services involve the creation, delivery or processing of digital property documents. Once a digital document has been generated or delivered, it cannot be returned, and therefore no refunds can be issued, except in the circumstances listed below.
Eligibility for a Refund
You may request a refund only if:
2.1 Duplicate Payment
If you were charged more than once for the same order, we will refund the duplicate payment(s).
2.2 Service Not Delivered
If we fail to deliver the ordered document(s) within the specified timeframe and no work has begun, you may be eligible for a full refund.
2.3 Incorrect or Incomplete Order (Our Fault)
If the document delivered contains errors caused by us, or does not match what you ordered, we will either:
- Provide a corrected version at no additional cost, or
- Issue a refund if the document cannot be corrected.
Sale Items
Only regular priced items may be refunded. Sale items cannot be refunded.
Non-Refundable Situations
Refunds will not be issued if:
- Delays occur due to external agencies or third parties (e.g., government registries, data sources).
- You provided incorrect, incomplete or misleading information needed to prepare your documents.
- The document has already been created or delivered.
- You change your mind after purchasing.
- You request a cancellation after work has begun.
Order Cancellations
You may cancel your order only if:
- It is within 1 hour of placing the order, and
- Work has not yet started on your document.
If work has started, cancellation is not possible.
